Course Outline

   Clerical Services is a competency introductory course designed to provide interns opportunities to gain skills required for a successful office career. Each intern will practice and define the responsibilities/duties of office personnel. They will use a computer to practice and develop typing skills leading to writing business letters and memos. Interns will also develop skills in data processing, filing and organizing, answering phones, operating office equipment such a laminator, shredder, and copier, and learn how to maintain inventory of supplies and prepare a list of supplies to be ordered.

 

Office Skills Work Program Objective 1:  

Interns will work at their own pace to develop skills in data processing; accessing and practicing simulation exercises on a computer.

  • Interns will accurately enter data on a repetitive basis while increasing difficulty levels (easy, medium, hard) .
  • Easy level-Interns will enter the customer and number and check to see if the record contains the zip +4number.
  • Medium level- Interns will enter the customer number, compare information on the entry screen with the information on the Data Card, and correct any errors found.
  • Hard level- Interns will enter the customer number, and enter all information from the data card into the correct field.

Interns will work at their own pace to develop skill in order processing; accessing and practicing simulation exercises on a computer.

  • Easy level-Interns will enter the order number, select the inventory tab, and check the status for each item listed. If the status says ‘out’ for any item listed, the intern will click the backorder checkbox, then click ok to move on to the next data card.
  • Medium level- Interns will enter the order number, compare information in both the billing and the order tabs with information on the data card, correct any errors, than select the inventory tab and check the status for each item listed. If the status says ‘out’ for any item listed, the intern will click the backorder checkbox, then click ok to move on to the next data card.
  • Hard level- Interns will enter the order number, enter all information from the data card into the correct fields under the billing and order tabs, than select the inventory tab and check the status for each item listed. If the status says ‘out’ for any item listed, the student will click the backorder checkbox, then click ok to move on to the next data card.

 

Office Skills Work Program Objective 2:

Interns will develop skills in filing; covering the principals used in the classification, arrangement, storage, and retrieval of business documents. Emphasis is placed on the alphabetic and numeric filing systems.

  • Alphabetic filing-intern will arrange files in alphabetical order
  • Numeric filing- intern will arrange files in numeric order
  • Alpha-numeric filing- intern will arrange files in alpha-numeric order

 

Office Skills Work Program Objective 3:

Interns will develop skills in communication as a part of customer relations

  • Written Communication-Interns will practice writing and/or typing business style letters, emails, and memos, with clarity and precision.
  • Answering the telephone- Interns will practice speaking on the phone using proper phone etiquette.
